Privacy Policy

SaathiWise ("we", "us", "our") provides an AI-powered WhatsApp appointment booking service for businesses ("Business Users") and their end customers ("Customers"). This policy explains what data we collect, why, and how it's handled.
1. Information We Collect
- From Business Users: business name, owner name, phone number, email, address, services offered, working hours, staff names, and dashboard password (hashed).
- From Customers (via WhatsApp): name, phone number, appointment details (date, time, service requested), and message content exchanged with the AI assistant, for the purpose of booking, rescheduling, or cancelling appointments.
- Payment information: when a booking advance is collected, payment is processed by Razorpay. We do not store card, UPI, or bank details — only the payment status and amount.
- Automatically collected: basic technical data (IP address, browser type) when you use our dashboard or website, for security and analytics.
2. How We Use Information
- To operate the AI booking assistant and process appointment requests via WhatsApp (Meta's WhatsApp Business Platform).
- To share relevant booking details (name, phone, appointment time) with the specific Business a Customer is booking with — this is core to how the service works.
- To send booking confirmations, reminders, and updates via WhatsApp and email.
- To process subscription billing and booking advance payments via Razorpay.
- To improve our service and provide customer support.
3. Data Sharing
We do not sell personal data. We share data only with:
- The specific Business a Customer books with (their name, phone, and appointment details).
- Meta (WhatsApp Business Platform), to deliver and receive messages.
- Razorpay, to process subscription and advance payments.
- Resend, our email delivery provider, for transactional emails.
4. Data Retention
We retain appointment and customer data for as long as a Business's account is active, and for a reasonable period afterward for record-keeping and legal compliance. Business Users may request deletion of their account and associated data by emailing us.
5. Data Security
Passwords are hashed using industry-standard encryption (bcrypt). Data is stored on secured servers. Access to business data is restricted to authorized personnel only.
6. Customer Rights
Customers and Business Users may request access to, correction of, or deletion of their personal data by contacting us at saathiwise@gmail.com.
7. WhatsApp & AI Processing
Messages sent to our AI booking assistant are processed using Anthropic's Claude AI to understand booking requests and generate responses. Message content is used solely to fulfil booking-related requests and is not used to train AI models.
8. Changes to This Policy
We may update this policy from time to time. Material changes will be communicated via email or WhatsApp to registered Business Users.
